HelperHub is a free, volunteer-run service that helps schools, clubs and community groups organise volunteers. We keep this short and plain because we collect as little as we can.
What we collect
- Volunteers: your name, email address and mobile number, plus anything you choose to add (comments, what you're bringing, dietary notes, or an answer to the group's question).
- Organisers: your name and email address, and the details of the events you set up.
- Technical: your internet (IP) address is briefly recorded to stop spam and abuse, and deleted within two days.
We don't use advertising, tracking cookies or analytics, and we never sell or share your details for marketing.
Who can see your details
- Other volunteers see only your first name and last initial (and what you're bringing, so people don't double up).
- The organisers of the group you signed up with can see your full name, email, mobile and comments, so they can contact you about the event.
- HelperHub's administrator can access the data only to run and fix the service, or to deal with misuse.
How we use it
To show you the sign-up, send your confirmation and reminder emails, let organisers contact you about the event you signed up for, and keep the service safe from misuse. Emails are sent through an email delivery provider on our behalf.
Where it's kept and for how long
Data is stored with Cloudflare, our hosting provider, which may store it outside Australia. Volunteer contact details are deleted automatically 12 months after the event. Groups that are never confirmed are deleted after 7 days. Organisers can delete their events at any time, which removes the related sign-ups.
Your choices
You can cancel a sign-up using the link in your confirmation email. To see, correct or delete your information, contact the group's organisers or email us at hello@helperhub.au.

Each group is responsible for how its organisers use volunteers' details, and should only use them to organise their own activities.
